ACES Program Registration Information & FAQ

What is your cancellation policy?

We understand that plans can change, and we try our best to work with you if you need to cancel a class.

  • A FULL REFUND (less $20 cancellation fee) is given if the participant cancels at least 14 DAYS PRIOR to the start of the class. Please let Phebe know if you would like to turn your camp registration fee into a fully tax-deductible gift to the Children’s Education Fund to support ACES’ education programs. These programs provide valuable experiences for students that encourage resiliency, creativity, and a connection to the outdoors. We thank you, as always, for being part of the ACES family!
  • NO REFUNDS are given for cancellation within 14 DAYS PRIOR to the start of the class. We will consider cancellation requests for family emergencies, illness, or accidents prior to the camp session start date for a full refund less a $20 cancellation fee.
  • In the event that ACES has to cancel a class, FULL REFUNDS will be issued (no additional fees).

What are the logistics for each of the camps?

Camp logistics will be emailed to registered participants, as they continue to change throughout the year.

What age do kids need to be for ACES camps?

We offer classes for specific grade levels and age groups so that our educators can do the best job possible when teaching your kids. We are strict with grade levels and ages, especially on the younger side. Help us do our job well by choosing appropriate grade level classes for your children. They were carefully designed to be age appropriate! Together we can do best for your kids AND our educators. Thank you!

How do I apply for a scholarship?

We pride ourselves in the ability to offer ACES programming to everyone. If you need financial assistance, fill out ACES’ Scholarship Application.

Is there a membership discount?

What is a Medical Management Plan?

Participants with specific medical needs and conditions must follow the below-described procedures so that ACES may determine if staff and resources can appropriately respond to participant’s needs/conditions. This requirement is not intended to be exclusionary. This Medical Management Plan is applicable for all ACES youth camps & experiences, and adult program participants.

Adult participant/parent/legal guardian is required to provide a written medical management plan to ACES for any child or adult requiring specific medical care while participating in an ACES program. The medical management plan must be provided to Phebe Meyers, ACES Community Programs Senior Manager ( no less than 14 days prior to the start of the program. Adult participant/parent/legal guardian and relevant ACES staff will review the plan together (via email, phone or in person) and address questions prior to the program start date. If adult participant/parent/legal guardian wishes to discuss the medical management plan again on the day of program, the participant/parent/legal guardian must schedule an appointment to start no later than 30 minutes prior to the start of the program.

Essential Eligibility Criteria

ACES’ mission is to educate for environmental responsibility. ACES Community Programs are one-day or multi-day field excursions and programs with the goal of inspiring environmental stewards.

The health and well-being of our program participants and staff, and providing high quality programing are our top priorities. ACES strives to provide age appropriate activities that depend on the specific details of the program. If you have questions about what you or your child will be doing, please contact ACES for more information.

ACES works to accommodate a wide range of abilities in programs, and will make reasonable accommodations with individuals and program leaders to create an accessible learning environment, when appropriate and feasible.

All ACES Naturalist and Education staff have basic First Aid training. All lead educators in wilderness environments have either Wilderness First Aid or Wilderness First Responder training. ACES staff are trained to respond to basic medical emergencies in the context of ACES programming that they facilitate. You and your doctor are responsible to decide if you or your child can adequately participate in this program.
